The Document Vault

Gated, private document sharing for each listing — vetted parties request access, and you stay in control.

The Listing Document Vault — the Deal Room — is a private document room for each listing: a place to share the offering memorandum and the sensitive documents with vetted parties, under your control. It's a firm-level tool the Director switches on; once on, it appears as part of every listing.

Before you start

Switching the vault on is a Director action. In your dashboard, open Website Settings in the left menu, go to Modules, and find Deal Room in the Site Tools card. Flip it on and follow the setup checklist if the switch shows one. The agreement buyers sign lives one screen over: Website Settings → Confidentiality Agreement — read it before your first listing goes live, because every buyer accepts that text at the gate.

Step by step

With the vault on, there's no separate workflow to learn — the room is created with the listing, in the same sitting:

  1. Build your listing as usual — see Property Listings. The builder gains a Deal Room step; click Continue to Generate when you reach it.
  2. On the listing, the Deal Room box is where documents go. Click Add Document and attach the files — the offering memorandum, rents, anything for vetted eyes only. Label each one if you like; buyers see the label, never the filename.
  3. Two artifacts build themselves from your listing fields — the Property Data Packet and the Deal Memo. Click Preview yours to read them; you never write or upload either.
  4. Publish. The vault-access form arrives with the listing, so interested parties can ask for access — and requests land in your Leads Inbox like any other submission.

What you get

  • a private document room per listing, holding the documents you choose — they never appear on the public listing page
  • gated access — documents don't circulate openly
  • the Deal Memo — a free, one-page summary anyone can open and forward, no sign-in, no agreement, at the listing's own address
  • the Property Data Packet, built from your listing details for serious parties
  • a vault-access form on the listing, so requests come to you in one place

Troubleshooting

A document I uploaded isn't visible to buyers. If you uploaded it but didn't save the listing, the file didn't stick — the vault warns you on the spot: upload it again, then save the listing.

The gate won't serve documents at all. The Confidentiality Agreement screen says so plainly when something required is missing from your settings — usually the legal brokerage entity the agreement needs. Fill in what the notice names and the gate works again.

Still stuck? Email hello@upliftcre.com with your site address and what you see.

Good to know

  • The vault is per listing and per firm. It appears on listings only when the firm has it on — off, nothing about your listings changes.
  • Each listing can pause its room with the Deal Room switch on the listing itself.
  • The Deal Memo is public by design — it's the forwardable summary, separate from the gated room; the source documents stay private either way.
  • The vault is the only tool that touches listing documents — everything else about a listing stays as described in Property Listings.
